How to run events in a Roblox Discord server
Quick answer
Give members one way to request events, let staff approve them quickly, post each event with RSVP buttons, remind people in their own time zone, and check people in so you know which events actually worked.
1. One way in for event requests
Requests scattered across staff DMs get lost. Use one form or panel where members submit the event name, the Roblox game, the time and the host.
2. Fast approval
Send each request to staff where they will see it, and let them accept, deny or edit it in one step. An event that waits two days for approval usually does not happen.
3. Post the event properly
Every post needs a title, the game link, the start time, the host and how many people can come. Add RSVP buttons (Going, Maybe, Not going) and a waitlist once it is full.
4. Get time zones right
Use Discord timestamps instead of writing "8pm EST". Typing <t:1767225600:F> in a message shows that moment in each reader's own local time. Swap in your event's Unix time.
5. Remind the right people
Send a reminder the day before and shortly before the start, and ping only the people who said they are going, not @everyone. Fewer pings means people keep notifications on.
6. Check in, then look back
Check people in at the event so you know who actually came, ask for a quick rating afterwards, and give your best hosts more slots. After a month you will know which events are worth repeating.
Skip the build: ready-made
We sell finished, tested systems for exactly this:
- BLACK EMPIRE EVENT BOT — Members request events, staff approve them from a DM, and RSVPs, reminders and check-ins run themselves.
- MONARCH — Eighteen casino games, 59 slash commands, one economy, and chatting earns the same chips as gambling.
